Name, address, phone, email, VAT number if registered
Client
Name and site address
Quote reference & date
e.g. PP-0001, with a 'valid until' date (30 days is common)
Scope of work
What you will do, in plain words, and what's not included
Materials
Each item, quantity and price
Labour
Days or hours, and your rate
Extras
Skip hire, waste removal, scaffolding, plant hire
Totals
Subtotal, VAT, total
Payment terms
Deposit, stage payments, when the balance is due
Acceptance
Client signature and date

Quote or estimate?

A quote is a fixed price for the work described. An estimate is your best guess and can change. Say clearly which one you're giving so there are no arguments later.

Turning the quote into an invoice

Use the same reference, add an invoice number and due date, take off any deposit already paid, and show the balance. If you work under CIS, show the labour and materials separately so the contractor deducts CIS from the labour only.
